Maintenance Coordination That Protects Your Property and Your Budget
Maintenance is where property managers earn their keep. Not by saying yes to everything – by saying yes to the right things, at the right price, with the right vendor.

How We Do It
Intake
Residents submit requests through the portal (preferred – it creates a tracked ticket) or call the maintenance line. Emergencies bypass normal scheduling and go to dispatch immediately.
Triage
Our team evaluates the request – is it actually an emergency? Can it be troubleshot remotely (hitting the GFCI reset, re-lighting the pilot)? Does it need a specialist?
Approval & Dispatch
For anything above your pre-set approval threshold, we contact you with a recommendation and a price before work is authorized. Emergencies are handled first and reconciled after, so life-safety issues don’t wait for a phone tag cycle.
Vendor Assignment
Work orders go to vendors in our network – each one licensed, insured, and vetted for quality and responsiveness.
Completion & Documentation
Vendors submit photos and invoices. We review, verify the work matches the scope, approve the invoice, and post it to your account with full supporting documentation visible in your owner portal.
Why This Matters to You
Deferred maintenance is the silent killer of rental ROI. A $200 plumbing fix becomes a $4,000 flooring replacement when it isn’t addressed. A missed HVAC filter change cuts the system’s life in half. The point of professional maintenance coordination isn’t to fix everything – it’s to fix the right things, in the right order, before small problems become catastrophic ones.
What Sets Lux Apart
We don’t own a maintenance company.
Some managers pad invoices by routing work to their own in-house repair company. We don’t. You get competitive vendor pricing, not inflated ‘inside’ rates.
We publish our vendor standards.
Every vendor on our list carries current general liability insurance, workers’ comp where applicable, and relevant trade licenses. We re-verify annually.
We communicate before we spend.
If work crosses your approval threshold, you hear from us before we authorize it – with the recommendation, the estimate, and the reasoning.
Frequently Asked
Do you mark up maintenance invoices?
No. You pay what the vendor invoices. Our fee structure is transparent and flat – no hidden maintenance coordination fees stacked onto every invoice.
What if the resident caused the damage?
If the cause is clearly resident-caused (not wear and tear), the charge is billed back to the resident per the lease. We document it with photos and invoices.
Can I use my own contractor?
You can add preferred vendors, but they’ll need to meet our insurance, licensing, and responsiveness standards to handle emergency or after-hours calls. Many owners find our network is faster and cleaner to use.
